Refunds, Cancellations & Disputes

This policy applies to all services purchased from Cervin Advisors LLC ("Cervin," "we," "us"). Where a signed proposal or statement of work ("SOW") contains different terms, the signed document controls.

Refund policy

Hourly advisory

Hourly services are billed in arrears for time actually worked. If you believe an invoice includes time that was not performed or not authorized, contact us within 30 days of the invoice date and we will review the time records with you and issue a credit or refund for any amount billed in error.

Monthly retainers

Retainers are billed in advance for the upcoming month. If you cancel under the terms below, any prepaid amount covering a period after your cancellation takes effect will be refunded in full. Fees for a month in which services were made available are non-refundable, except where we failed to deliver the agreed scope, in which case we will refund or credit the undelivered portion on a pro-rata basis.

Fixed-scope projects

Project deposits and milestone payments are non-refundable once the related work has begun, because they fund work already performed. If we cancel a project before completion for any reason other than your breach, we will refund payments for any milestones not yet delivered. If you cancel, you will be billed only for work completed and reasonable non-cancellable costs incurred through the cancellation date; any prepaid balance above that amount is refunded.

Prepaid hour blocks

Unused hours in a prepaid block may be refunded at the rate paid if you request a refund within 90 days of purchase.

How refunds are issued

Approved refunds are issued to the original payment method (card or bank account) within 10 business days of approval. Card refunds may take an additional 5–10 business days to appear, depending on your bank.

Cancellation policy

• Hourly advisory: may be stopped at any time; you pay only for time already worked. Please give 24 hours' notice to cancel a scheduled session, or it may be billed at a one-hour minimum.
• Monthly retainers: either party may cancel with 30 days' written notice (email is sufficient). There are no cancellation fees.
• Fixed-scope projects: either party may cancel with written notice as described in the SOW; billing is handled as described under Refund policy above.
• Shared operating team placements: may be cancelled with 30 days' written notice unless the SOW specifies a different period.

To cancel, email billing@cervinadvisors.com from the address on file. We will confirm cancellation in writing within one business day.

Billing disputes

If you have a question or concern about any charge, please contact us before filing a dispute with your bank or card issuer — we can usually resolve billing issues faster directly.

1. Email billing@cervinadvisors.com with the invoice number, the amount in question and a short description of the issue.
2. We will acknowledge your request within one business day and provide a written response, with supporting time or delivery records, within 10 business days.
3. If we agree an amount was billed in error, we will issue a refund or credit as described above. If we disagree, we will explain why and work with you in good faith to reach a resolution.

Nothing in this policy limits any rights you have under applicable law or under your card network's rules.

Returns

Cervin Advisors provides professional services only and does not sell or ship physical goods, so no product return process applies.
